1. Who we are

The Learning Habitat, LLC (“TLH,” “we,” “us”) operates this website and our school programs. Our business address is in Charlotte, North Carolina. For anything in this policy, you can reach us at info@thelearninghabitat.com or 704.980.8242.

2. What information we collect

We collect information only when you choose to give it to us:

• Inquiry & enrollment forms. Parent and guardian names, email, phone numbers, address, child(ren)'s names and ages, grade level, and any notes you choose to share about learning needs, allergies, or scheduling.
• Email & phone conversations. When you email or call us, we keep the information needed to follow up and serve your family.
• Payment information. Tuition, deposits, and fees are processed through our school management system (see Section 4). We do not store full payment card numbers on this website.

3. How we use your information

We use what you share with us to:

• Respond to inquiries, schedule tours, and walk families through enrollment.
• Communicate about classes, schedules, field trips, and school events.
• Bill tuition and administer enrollment records.
• Meet our legal and regulatory obligations as a private school in North Carolina.

We do not sell your information. We do not use it for advertising or marketing profiling.

4. Where your information is stored — Blackbaud

Our enrollment, inquiry, family, and billing records are managed in Blackbaud's school management system (FACTS / myschoolapp). When you submit an inquiry form on this website, your responses go directly to Blackbaud, where they are stored and used by our administrative team. Invoice and payment processing are also handled within Blackbaud and its integrated payment processor.

We have chosen Blackbaud because it provides industry-standard security and is widely used by independent schools. You can review Blackbaud's privacy practices at blackbaud.com/privacy.

5. Children's information (COPPA)

We are committed to protecting children's privacy in line with the Children's Online Privacy Protection Act (COPPA). We do not knowingly collect personal information directly from children under 13 through this website. Any information about a child that we receive comes from a parent or legal guardian, through our inquiry and enrollment forms or in direct communication with us. We use that information only to provide our educational services and only with the consent of a parent or guardian.

As a private school, student records are also protected under the Family Educational Rights and Privacy Act (FERPA). Parents and eligible students have the right to inspect, review, and request correction of education records — please contact us to make such a request.

6. Cookies & tracking on this website

This website does not use advertising trackers, analytics pixels, or marketing cookies. We do not set tracking cookies of our own, and we do not load third-party advertising scripts. The only cookies involved are functional ones set when you submit a form or interact with embedded tools (such as our Google Calendar embed).

If we ever add analytics or third-party marketing tools in the future, we will update this policy and add a clear notice asking for your consent before any non-essential cookies are set.

7. Other third parties we work with

• Google Calendar (embed). Our calendar page shows a public read-only Google Calendar embed. Viewing the embed may cause Google to receive technical information such as your IP address. You can also open the calendar directly on Google instead.
• Google Fonts. This site uses Google Fonts to display our typography. Google may receive technical information as a result.
• Instagram & Facebook. Our footer links to our social profiles. If you choose to follow those links, Instagram/Facebook's own privacy policies apply on those sites.

8. How long we keep your information

Inquiry records for families who do not enroll are typically retained for one school year so we can follow up the following season. Enrolled family and student records are retained for as long as your child is enrolled, and for the period required by North Carolina and federal recordkeeping rules after that.

9. Your choices & rights

• Ask what we have on file. Email us and we'll tell you what we store about your family.
• Correct your information. Let us know and we'll update it promptly.
• Opt out of non-essential communications. You can always unsubscribe from optional school newsletters or reminder emails.
• Request deletion. If you're a former or prospective family and want your inquiry record removed, contact us and we will delete it except where we are required to retain it by law.

10. How we protect your information

We restrict access to family and student records to TLH staff who need them to do their jobs, we use Blackbaud's hosted school management system for day-to-day records, and we use reasonable administrative and technical safeguards on our own devices and accounts. No system is perfectly secure, but we work hard to keep your information safe.

11. Updates to this policy

We may update this policy from time to time — for example, if we add a new tool to the website or change how we communicate with families. The “Last updated” date at the top of the page will always reflect the most recent changes.
